Dear Invited Speakers,
We would like to share a few important updates since our last message.
Accommodation
Given the continued increase in accommodation prices in the Vancouver area during the May–June period, we have adjusted our room allocation priorities.

  *   ) TRIUMF House for Invited speakers

All rooms currently blocked at TRIUMF House are now reserved for invited speakers (CAD ~100–200 per night, depending on room type).
To proceed with the room reservation:

You must enter the TRIUMF group code XeSAT2602  to view availability and rates.
Please note that the group code is only valid for the dates between May 15-23, 2026.
Select the room you wish to book.
Credit card is required to book a room. There is no charges at the time of booking. Full payment is due upon arrival.
In case of questions please contact housing at triumf.ca
Please do not share the booking code with non-invited speakers but let us know by March 1st if you prefer not to stay at TRIUMF House. We will then be able to release the remaining rooms to other XeSAT participants.

  *   ) For Early-Career Researchers in Your Group

If a student or postdoc from your group is attending (contributed talk, poster, or as a participant), we recommend Pacific Spirit Hostel (UBC campus, dormitory-style accommodation): https://pacificspirithostel.com/
Rooms are CAD 86 (+ tax) per night.
As the conference overlaps with UBC graduation ceremonies, we strongly encourage early booking.
We will also contact contributed speakers and poster presenters separately with this information.

  *   ) Group Accommodation Option – Gage Towers

If several members of your group are attending and you are seeking a more economical option than TRIUMF House or other on-campus hotels (e.g., Gage Suites <https://suitesatubc.com/gage-apartments-vancouver/> or West Coast Suites<https://suitesatubc.com/west-coast-suites-vancouver/>, typically starting at ~CAD 350/night + tax), there is a third possibility:
Gage Towers offers four-bedroom apartment-style units.  All four rooms must be reserved together for a rate per room of $73/night (+ tax). Please email us directly if you would like to pursue this option as it cannot be booked online. This is currently the most cost-effective option for groups.

Registration
Early registration closes in a week -  February 27th.

Thank you for accepting our invitation to present and/or serve as a panelist at XeSAT 2026. We very much look forward to your contributions to the workshop.
Please note the following important points regarding registration and accommodation:
If you have not already done so:

Please submit your abstract<https://indico.triumf.ca/event/803/abstracts/> under the “Invited Speakers” category, ideally within the next few days.

Please register<https://indico.triumf.ca/event/803/registrations/75/> on Indico. The information provided during registration is essential for the organization of the meeting, in particular for preparing invitation letters for overseas speakers.

We would like to remind you that the early-bird registration deadline is February 27. Information on registration fees and fee payment procedure is available here<https://indico.triumf.ca/event/803/page/522-registration-fees>.
We have observed a significant increase in accommodation prices in the Vancouver area over the past weeks. Although XeSAT does not overlap with the World Cup dates, prices appear to have been rising in the weeks leading up to it.
To help mitigate this, we have pre-booked TRIUMF house rooms. In addition, we are working to secure a block of rooms in an on-campus hostel. These rooms will be allocated with priority given to early-career speakers. We will inform you by February 20 about remaining room availability and the booking procedure.
