Dear XeSAT attendees,
We are now les than a week away from the workshop, and we would like to share a few final updates and practical pieces of information for your consideration.
All international participants should now have received an invitation letter.
Please keep it handy when crossing the border, in case you are asked to present it. If you have not received it please let us know as soon as possible.
The first session on Tuesday will begin at 8:45 AM
Please allow sufficient time beforehand for registration. The registration desk will open at 7:45 AM.
Once registered, you are welcome to proceed to the Auditorium, where coffee, tea, and light snacks will be available before the first session. A map indicating the locations of the registration desk and the Auditorium is attached to this email.
For subsequent mornings, breakfast options can be found on the way between TRIUMF House and TRIUMF. Please see the information provided here: https://indico.triumf.ca/event/803/page/601-food-and-shopping-options-around-triumf
Each subsequent morning, you will need to sign in again upon arriving on the TRIUMF premises. If the XeSAT registration desk is unattended, the sign-in sheet will be available at the reception desk in the main lobby.
Please upload your presentations to the Indico site at least 24 hours before your talk. The timetable page is now accessible only to participants registered on Indico. This ensures that presentations remain viewable only to conference attendees until approval is granted to make them public. You will therefore need to log in to access the timetable. A PDF version is also attached below.
If you have not yet registered on Indico, registration has been reopened and we kindly ask you to complete it as soon as possible.
Please let us know if you encounter any issues uploading your presentation.
As a reminder:
- Invited talks are allocated 25 minutes + 5 minutes questions
- Contributed talks are allocated 12 minutes + 3 minutes questions
Given the tight schedule, we will need to adhere strictly to these time limits.
For poster presenters:
Upon registration, you will receive a poster number corresponding to your assigned poster board.
Please use the time before the first session on Tuesday or during the morning coffee break to set up your poster in the reception tent area.
We also ask that you upload your poster to the Indico site.
Lunches from Tuesday through Friday are included in your registration.
There will also be a reception with a buffet dinner on Tuesday evening, catered by Vancouver’s only Indigenous restaurant.
The conference dinner will take place on Wednesday evening following the excursions. More information is available here:

Please note that the excursions involve a moderate amount of walking (through gardens, museums, beaches, or a combination thereof).
We therefore recommend bringing only a light backpack on Wednesday morning, as there will be no opportunity to leave bags along the way.
Finally, the weather forecast for next week looks promising, with pleasant daytime temperatures between 16°C and 20°C.
